Who this policy covers
This policy applies to aspireedgeadmissions.com and the AspireEdge student portal. It covers visitors browsing the site, families who submit a form or book a call, and students and parents with a student portal account.
Information we collect
What we collect depends on how you interact with us.
- Contact form: parent or guardian name, email address, your student's current grade, and any message you choose to include.
- Newsletter signup: email address only.
- Booking a call: name, email, and scheduling details, collected directly by Calendly, our scheduling partner, when you book through our site.
- Student portal accounts: if your family works with us, we create an account for your student and, where applicable, a linked account for a parent. The portal stores academic and advising records tied to that account, including coursework and grades, standardized test scores, extracurricular activities, clinical and volunteer hours (including the name and specialty of a shadowed physician where logged), essay drafts, school lists, application deadlines, letter of recommendation tracking, and advisor session notes.
- Automatically collected data: standard technical information like browser type and pages visited, collected through normal website hosting logs.
How we use this information
- To respond to inquiries and schedule consultation calls
- To deliver the advising services your family has enrolled in, including tracking your student's roadmap, deadlines, and progress
- To send occasional updates if you've signed up for our newsletter
- To improve the site and our advising materials
We do not sell your information or your student's information to third parties, and we do not use student portal data for advertising.
Who can see student portal data
Access is role-based and enforced at the database level, not just in the app you see on screen.
- Advisors (our team) can view and edit the records of the students they work with.
- Students can view and, for most fields, edit their own records.
- Parents linked to a student can view that student's records. Some fields, like private advisor session notes and the letter of recommendation tracker, are visible to parents but can only be edited by an advisor.
- Parents and students cannot see other families' data, and other families cannot see yours.
Third-party services we use
We rely on a small number of vetted vendors to run this site and the student portal. Each has its own privacy practices, linked below.
- Netlify hosts this website and processes submissions from our contact and newsletter forms. See Netlify's privacy policy.
- Calendly powers our call booking widget and collects the scheduling information you provide directly to it. See Calendly's privacy policy.
- Supabase hosts the database and login system behind our student portal, including all academic records described above. See Supabase's privacy policy.
- Google Fonts serves the typefaces used on this site, which may involve your browser connecting to Google's servers. See Google's privacy policy.
- If we add live chat support to this site, it will be provided by a third-party chat vendor. We'll update this section with the vendor's name and link to their privacy policy before that feature goes live.
Cookies
This site itself does not set tracking or advertising cookies. Third-party tools embedded on certain pages, such as the Calendly booking widget, may set their own cookies to make their features work. You can control cookies through your browser settings at any time.
Students and minors
AspireEdge works with high school and college students, some of whom are minors. Student portal accounts for minors are set up by a parent or guardian in coordination with our team, and a parent can always request access to, or removal of, their student's account and data. We do not knowingly collect information directly from children under 13 without parent involvement, and this site is not directed at children under 13.
How long we keep information
We retain student portal records for as long as your family is actively working with us, and for a reasonable period afterward in case you return or need historical records for an application. Contact form and newsletter submissions are kept only as long as needed to respond to your inquiry or until you ask us to remove them. You can request deletion at any time using the contact information below.
Your rights and choices
- You can ask us what information we have about you or your student, and request a copy of it.
- You can ask us to correct inaccurate information.
- You can ask us to delete your information, subject to what we reasonably need to retain for recordkeeping or legal purposes.
- You can unsubscribe from newsletter emails at any time using the link in those emails.
- California residents have additional rights under state privacy law, including the right to know, delete, and opt out of certain data uses; contact us to exercise these rights.

Security
Student portal data is protected by account authentication and role-based access rules that limit each person to the records they're authorized to see. No online system is perfectly secure, but we take reasonable, industry-standard steps to protect your information.
Changes to this policy
If we make material changes to this policy, we'll update the effective date above and, where appropriate, let enrolled families know directly.
